    Privacy Policy

    Effective Date: March 1st, 2026

AnswerAI ("we," "us," or "our") provides AI-powered receptionist and call handling services for businesses. This Privacy Policy explains how we collect, use, and protect personal information when you interact with our services, including when you call a phone number operated by one of our clients using AnswerAI technology.

    1. Information We Collect

When you interact with an AnswerAI-powered phone line, the following information may be collected:

    • Call data — your phone number, the date, time, and duration of your call
    • Conversation content — your name, reason for calling, appointment details, and any other information you provide during the call
    • Call recordings and transcripts — audio recordings and text transcriptions of your call, processed and stored by our infrastructure provider (Retell AI, Inc.)

For our business clients, we also collect account information such as name, company name, email address, and phone system configuration details.

    2. How Your Information Is Used

We use the information collected to:

    • Handle and route your call on behalf of the business you contacted
    • Provide call summaries and follow-up details to our client (the business you called)
    • Maintain and improve the quality and reliability of our service
    • Fulfill legal and regulatory obligations

We do not sell your personal information to third parties. We do not use your call data for advertising purposes.

    3. Call Recording and AI Disclosure

Calls handled by AnswerAI are answered by an AI voice assistant. Calls may be recorded and transcribed to facilitate the service requested. Callers are informed of this at the beginning of each call. By continuing the call after this disclosure, you consent to the recording and processing of your conversation.

    4. How Your Information Is Stored and Protected

Call recordings, transcripts, and conversation content are processed and stored exclusively by our infrastructure provider, Retell AI, Inc. We do not store call recordings, transcripts, or conversation content on our own servers or databases. When our clients need to review call details, this information is retrieved directly from Retell AI's platform on demand and is not retained on our systems.

Retell AI maintains the following security standards:

    • SOC 2 Type I and Type II certified
    • HIPAA compliant with Business Associate Agreements available
    • GDPR compliant
    • End-to-end encryption for data in transit and at rest
    • Built-in PII (Personally Identifiable Information) redaction capabilities

On our end, we store only limited operational data — including client account information (name, company, phone configuration) and call routing metadata (call IDs and agent identifiers). Call routing metadata is automatically purged within 24 hours. Our database uses row-level security policies to ensure that each client can only access their own data.

    5. Data Sharing

We share your information only with:

    • The business you called — they receive call summaries and your contact details so they can follow up with you
    • Our infrastructure provider (Retell AI, Inc.) — who processes call audio and transcription on our behalf under strict security and compliance standards

We may also disclose information if required to do so by law or to protect the rights, safety, or property of AnswerAI, our clients, or the public.

    6. Data Retention

Call recordings and transcripts are retained by Retell AI, Inc. in accordance with their data retention policies and any agreements in place with our clients. We do not independently retain this data. Operational metadata stored on our systems is subject to automated cleanup and is retained only as long as necessary to provide the service.

If you would like your data deleted, please contact us using the details below and we will coordinate with our infrastructure provider to process your request within 30 days.

    7. Your Rights

Under the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Canadian privacy legislation, you have the right to:

    • Know what personal information we hold about you
    • Request access to your personal information
    • Request correction of inaccurate information
    • Request deletion of your personal information
    • Withdraw consent for future data collection

To exercise any of these rights, please contact us at the address below. We will respond to your request within 30 days.

    8. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable laws. The updated policy will be posted on this page with a revised effective date.
